Statutes

The group of elected young scientists is formed by the Society for Applied Mathematics and Mechanics (GAMM) and operates within the framework of the statutes of GAMM e.V. Henceforth, this group shall be referred to as GAMM Juniors. The administration is the responsibility of the GAMM Juniors themselves in accordance with the GAMM e.V. Society Rules, Section 3.6.5, as of 07.2024.

§1 Objectives

1.1 Enhancing interdisciplinarity between the two scientific fields and intensifying the transfer of knowledge between Applied Mathematics and Mechanics.

1.2 Promoting scientific activities of interest to young scientists in the fields of Applied Mathematics and Mechanics.

1.3 Representation of the young scientific generation in the fields of Applied Mathematics and Mechanics.

1.4 Representing the scientific fields of Applied Mathematics and Mechanics, both in academic research and within GAMM.

1.5 Promoting the autonomy of young researchers in the early stages of their scientific career.

1.6 Active participation at the GAMM Annual Meeting and organization of related activities.

1.7 Attend meetings of the Executive Council and the Extended Executive Council of the GAMM.

§2 Activities

Committees responsible for advancing and steering the endeavors of the GAMM Juniors in the following fields are to be established:

§2.1 Regular Meetings

2.1.1 The Executive Board members’ meeting is held trimonthly.

2.1.2 A meeting involving all GAMM Juniors members is to be held at least once a year.

2.1.3 Fall Meeting

2.1.3.1 The Fall Meeting serves as one of the main meetings of the GAMM Juniors, with a central part being the formation of committees as laid out in §2, reports on the status quo of each of the related projects and proposals regarding new project ideas.

2.1.3.2 The Fall Meeting is organized by a corresponding committee.

2.1.3.3 Multiple committees might be formed during or after the Fall Meeting, each of which submit their proposal to host an upcoming Fall Meeting.

2.1.3.4 The Executive Board selects from the applications where the upcoming Fall Meeting should take place.

2.1.4 Spring Meeting

2.1.4.1 The Spring Meeting serves to welcome the new GAMM Juniors.

2.1.4.2 Introduction and explanation of the Juniors’ procedures and activities to all members.

2.1.4.3 Discussions of the current status of the activities associated with the GAMM Annual Meeting should be fostered.

§2.2 Recognition of particularly active Juniors

2.2.1 A committee, consisting of the Member of the GAMM Board of Directors responsible for young scientists, the Juniors’ Executive Board, and volunteer alumni, selects the winner.

2.2.2 The winner will be honored after the election during the Juniors Fall Meeting and at the GAMM Annual Meeting in a larger setting.

2.2.3 Active GAMM juniors and active GAMM members can nominate active juniors, except members of the Executive Board. In addition, alumni who were juniors no more than 3 years ago may also be nominated. Self-nominations are not permitted.

§3 Organization and Management

This paragraph introduces the specific officers. Their corresponding duties are defined in §4.

§3.1 Definition of Executive Board Positions

3.1.1 The GAMM Juniors have an Executive Board consisting of three persons: a President, a Vice-President, and a Secretary.

3.1.2 The Secretary also serves as the Treasurer.

3.1.3 All Executive Board members must be regular members of the GAMM Juniors.

3.1.4 The President chairs all Meetings. In the absence of the President, the Vice-President assumes the duties of the President. In the absence of the Vice-President, the Secretary takes over the duties.

§3.2 Election of the Executive Board

The general procedure for the election of the Executive Board is as follows:

3.2.1 Every year in December, an election organized by the President must be held to elect the Vice-President and the Secretary.

3.2.2 All ordinary members of GAMM Juniors who are still active or become active during the period for which the election takes place are eligible to vote.

3.2.3 All regular members of GAMM Juniors whose nomination period has not yet expired at the time of the election, whose nomination period will not end before the term of office and who are agreed and qualified to perform the tasks and duties of the Executive Board as described in §4 are eligible to stand for election.

3.2.4 The term of office of those newly elected in accordance with §3.2.1 begins on January 1st of the year following the election.

3.2.5 The positions of Vice-President and President should not typically be held by the same person.

3.2.6 The current Vice-President becomes President on a rotating basis at the beginning of the new year on January 1st if the majority of Juniors do not veto this by the time of the change at the beginning of the new year. In this case, the Executive Board and the Advisory Board must appoint a president by mutual agreement with the active members.

§3.3 Advisory Board

3.3.1 The advisory board is made up of former GAMM Juniors who have shown exceptional commitment and actively performed administrative, organizational, or leadership tasks within their nomination period.

3.3.2 The appointment is for a minimum of 3 years.

3.3.3 The Executive Board appoints the Advisory Board and determines the number of its members.

§4 Duties

This paragraph defines the duties of the officers defined in §3.

§4.1 Duties of the Executive Board

The Executive Board represents the GAMM Juniors and has overall responsibility for the following matters:

4.1.1 Preparation of topics to be discussed at general GAMM Juniors meetings, and convening these meetings.

4.1.2 Implementation of the resolutions passed at the general GAMM Juniors meetings.

4.1.3 Appointment of subcommittees to handle specific tasks and activities within the GAMM Juniors.

4.1.4 Duties may be delegated, but responsibility remains with the respective Executive Board member.

The Executive Board includes the following roles with associated responsibilities:

§4.2 Duties of the President

4.2.1 Chairs all meetings

4.2.2 Representative

4.2.3 Convenes Executive Board meetings and general GAMM Juniors meetings

4.2.4 Attends meetings of the Executive Council and the Extended Executive Council of GAMM according to GAMM’s statutes

4.2.5 Participates in meetings of the GAMM Future Committee

4.2.6 Manages the institutional email address

§4.3 Duties of the Vice-President

4.3.1 Deputizing for the president in the event of absence

4.3.2 Coordinates voting procedures

4.3.3 Represents the Secretary in case of absence

4.3.4 Records meeting minutes and distributes them to all members

4.3.5 Responsible for delivering a detailed report on the Fall Meeting, activities, and proceedings within four weeks after the meeting to the GAMM Juniors President

4.3.6 Prepares a written report on the activities of the GAMM Juniors during the GAMM annual conference

§4.4 Duties of the Secretary

4.4.1 Authorizes and records the use of funds and monitors proper expenditure

4.4.2 Provides interim reports on expenditures and use of funds within the Executive Board

4.4.3 Coordinates financial matters with the Treasurer of GAMM

4.4.4 Prepares an annual report on expenditures (in cooperation with the Vice-President)

§4.5 Duties of the Members

4.5.1 Active participation in projects

4.5.2 Support for the group’s organizational and administrative tasks

§4.6 Duties of the Advisory Board

4.6.1 Advisory role for the Executive Board

4.6.2 The Advisory Board and the Executive Board form the Executive Council

4.6.3 One member of the advisory board shall represent the Juniors as a voting member of the GAMM Board of Directors

4.6.4 Discharge of the GAMM Junior Delegate

§5 Amendments to the Statutes

5.1 Any proposed amendment to the statutes must be communicated to all GAMM Juniors at least two weeks before a planned vote.

5.2 At least half of the regular Juniors must vote for the amendment to be valid.

5.3 Of these votes, at least two-thirds must approve the amendment for it to be valid.

5.4 Any amendment to the statutes must be communicated to the GAMM Executive Board.

§6 Provisional Effectiveness and Subsequent Amendments by the Association’s President

6.1 These statutes come into provisional effect on the date of their adoption by the GAMM Juniors, provided they are consistent with the overarching goals and regulations of GAMM.

6.2 The statutes require final approval by the President of GAMM. If the GAMM President is unable to immediately grant this approval due to absence or other reasons, the statutes will remain provisionally in effect until subsequent review by the President.

6.3 After the review, the GAMM President reserves the right to make amendments to the statutes. These amendments will automatically take effect and become an integral part of the statutes, unless they affect the fundamental principles of the statutes. In such a case, the GAMM Juniors are required to re-discuss and re-approve the amended statutes.

6.4 The GAMM Juniors will be promptly informed of any amendments, and if necessary, a new meeting will be convened to confirm the statutes.

6.5 Until final approval by the GAMM President and subsequent confirmation by the GAMM Juniors, the provisional statutes are binding on all members of the subgroup.
